Accounts Payable Associate, Guelph, ON

Career Summary:

Under the general direction of the Accounting Manager, the Accounts Payable Associate will be responsible for accounts payable and maintaining appropriate financial documentation through an organized system of filing.  Other responsibilities will include producing monthly accounting reports, recording entries to the General Ledger as well as processing payable and received cheques, providing assistance with annual audit, and administrative duties related to bookkeeping. Other duties will be assigned as necessary.  Accuracy is critical in this high-volume, primarily data entry role.

Primary Duties and Responsibilities:

  • Receives invoices and matches them with purchase orders and receiving reports
  • Codes invoices to appropriate G/L accounts
  • Enters invoices into Apprise System
  • Verify account codes and signatures for proper assignment of budgetary expenditures
  • Works with the Inventory Costing Analyst to ensure costs are input correctly into Apprise
  • Uploads cheque files to bank website
  • Matches invoices to cheques for authorized signature
  • Files cheque stubs
  • Runs reports for purchase journals and aged payable report monthly
  • Verifies Ocean Freight rates based on rates from the Accounting Manager
  • Maintains spreadsheets for audit purposes

Qualifications Required:

  • Post secondary degree or diploma in Business Administration, Finance, Accounting or other related field plus 1 year of experience in accounts payable/accounts receivable and general bookkeeping or equivalent experience
  • Must be able to demonstrate strong working knowledge of accounts payable, generally accepted accounting principles and practices, proficiency with accounting software and a high degree of accuracy
  • Candidates must also have excellent multi tasking ability, strong attention to detail and be proficient in MS Word and Excel
  • Experience with ERP/MRP software is considered an asset

Working Conditions:

The Accounts Payable Associate works in an office setting.  The individual spends most of his/her time in a seated position.  Frequent data entry is required of the individual.
